Foreman or Super Permission Required
The items described in this article are only available to users with Foreman or Superintendent permissions.
Intro
The Work Order CheckOutTab handles the process of Work Order Completion. This helps Foreman and Superintendent resolve any outstanding issues before the Work Order is finalized. This tab can only be modified by the Foreman or Super assigned to the Work Order but can be viewed by any user with access to the Work Order.
The CheckOut Tab is divided into multiple sections, each dealing with a different part of the CheckOut process. All parts must be completed before ProfitOps will allow the Work Order CheckOut process to be completed.
Tab Status Indicator
The first part of the CheckOut Tab is a status indicator at the top, which shows if actions are needed on the Fleet, Materials, or Labor tabs.
Incomplete Status
These indicators will show “Incomplete” if the related tab has not been completed.
Complete Status
All three indicators must show complete before the Work Order CheckOut button at the bottom of this tab will be accessible.
Other Incidents
Other Incidents are any issue not covered by weather or fleet that prevent a Work Order from being completed. This section may not appear to users with view only permission if no incidents have been recorded.
Other Incidents Are NOT Safety Incidents
Any issue regarding safety or workplace injury should be immediately reported directly to the assigned Superintendent, and then to Risk Management. These issues are confidential and are not to be recorded on the Work Order.
Add An Incident
A Foreman or Superintendent can select the “Add Other Incident” button to record an Other Incident.
Describe The Event
Other Incidents require a description to save. Be sure to describe the cause, extent, and severity of the event. The Project Manager will see that an Other Incident has been added and may require their attention.
Removing or Editing an Incident
Once saved, Other Incidents cannot be edited directly but can be removed by a Foreman or Super by selecting the delete icon and confirming the removal. A new incident can then be created. This should only be done to correct a mistake.
Towing
At times, it may be necessary to tow away vehicles that are left in work zones. When this happens, the event must be recorded.
Add Towing
To add a towing event to the Work Order, Select the indicator in the "Were Cars Towed" container.
Record the Number of Cars
Provide a total for the number of cars removed. Any additional information should be recorded in the FM or Super Notes, which are detailed below.
CheckOut Notes
The CheckOut notes are the last requirement before a final CheckOut can be completed. These notes act as a reporting tool for any additional details about incidents, or other information as needed.
No Confidential Info
This information is visible to anyone with access to the Work Order, including Crew, so confidential or sensitive details should never be recorded here. Discuss these issues directly with the assigned Super, or another authorized manager.
FM Notes
FM notes can be modified by the assigned Foreman until the Super has completed their CheckOut.
FM Note Example
The Foreman is required to leave a note describing their activities and the disposition of work. Notes regarding a Work Order Completed As Scheduled do not need to be complex or verbose, one or two sentences are fine.
For Work Orders that are NOT Completed As Scheduled, a detailed description is required that explains what was completed, and any work remaining to be completed.
Please Be Detailed, see the related documentation article on Work Orders “NOT Completed as Scheduled” here.
Be Aware
Notes are not saved unless the final CheckOut button is selected, and a CheckOut stamp appears.
Super Notes
Super notes can be modified by the assigned Superintendent but are otherwise the same as the FM notes. Super notes can be modified until the Project Manager completes their CheckOut process.
Final Checkout
After all required sections are complete, a final “Foreman Checkout” or “Super Checkout” button will unlock.
Selecting this button marks the Work Order as complete for that role. Both the Foreman, and Super must select this button before the Work Order is marked as complete and reported to the Project Manager.
Foreman CheckOut
The Foreman is required to complete the Foreman Checkout process before the end of the day. It is recommending that the CheckOut process be completed as soon as the last crew member clocks out.
Completing CheckOut locks the Work Order and prevents further changes. Foreman may reopen the Work Order to make additional changes until the Super completes their CheckOut.
Foreman CheckOut Window
The assigned Foreman has until midnight on the day of work to complete this process and is highly recommended do so as soon as possible after work is completed.
Failure to complete CheckOut by this deadline will result in a negative Performance mark for the related Foreman.
Superintendent CheckOut
Superintendents should complete the Super Checkout process as soon as the Foreman CheckOut is complete but have until 11AM the next day if needed.
Completing CheckOut locks the Work Order and prevents further changes. Superintendents may reopen the Work Order to make additional changes until the Project Manager completes their CheckOut.
Super Override Rule
If a Foreman fails to complete their CheckOut process on time, the assigned Superintendent can override the Foreman and complete Work Order CheckOut on their own authority.
A Super override of Foreman responsibilities will result in a negative performance mark for the related Foreman.
Project Manager Checkout
Once a Project Manager completes their CheckOut process, the Work Order is closed out and no further changes are allowed. All information remains viewable to those with Work Order access.
